The Evolve Workplace Wellbeing website privacy notice
1. Introduction
The Evolve Workplace Wellbeing website https://evolveworkplacewellbeing.org (the Website) is a toolkit of free, evidence-informed workplace wellbeing resources that draw upon research findings, including extensive case studies.
The website is operated by Norwich Business School and owned and managed by the University of East Anglia (UEA) as part of our knowledge exchange and impact remit.
This notice explains how the University will use any personal data you submit via the website.
2. Who this notice applies to
This notice is for any user of Evolve Workplace Wellbeing who chooses to submit their name and contact details to us via the website, either through the enquiry form or newsletter sign-up functions.
No data is collected or stored from users of the diagnostic questions or the business case calculator.
3. The personal data we use, and why

4. Legal basis for using your data
Our legal basis for processing your data is listed in Article 6(1)(a), because you have given us your consent to process your data in this way.
If you choose not to provide us with the data that we require for this purpose, you will not receive research news and updates, or notification of knowledge exchange events, or our answer to any query you have submitted via the Website about our research and its findings.
5. Where does our information come from?
We will obtain your name and email address if you send them to us via the newsletter sign-up or enquiry form functions on the Website.
6. Sharing your information
We do not intend to share your personal data with any third party. Any specific requests from a third party for us to share your personal data with them will be dealt with in accordance with the provisions of the data protection laws.
7. Data processors
We are using Science Animated to host the Evolve Workplace Wellbeing website. However, the newsletter sign-up and the enquiry form generate emails which come directly to the workplace.wellbeing@uea.ac.uk email address, which is part of UEA’s systems.
8. How we store your information
Your information is securely stored. We keep your name, contact details and any messages you send us. These will be stored in a spreadsheet, on a secure UEA OneDrive Business folder. This allows for controlled access for only the project team and ensures that backups take place automatically via UEA’s usual systems.
9. How long we keep your information
According to our contact management plan, we will keep your contact details for up to three years and within the third year check with you if your details are still correct and if you would like to remain on the contact list for a further three years.
If at any time you would like to withdraw, we will delete your name and contact information from the spreadsheet and you will no longer receive any communication from Evolve Workplace Wellbeing.
